Topic: How do I tell Kete what fields in my source data correspond to Kete fields during an import?

Topic type:

Kete's standard fields (title, short summary, description, and tags) and extended fields can be configured to pull data from fields with different names in source data. Here's how to set it up.

General Concepts

Whether you are mapping source data to standard fields or extended fields, the name of the source data field must exactly match what is in your source data's file (how it is technically stored). This is not necessarily the same as what the software you used to input the source data with.  Finding out this information is beyond the scope of this guide, as each piece of software differs.

If you specify more than one source data field as a synonym for a Kete field, then Kete will add their values together so as to collect all the data possible. You may then edit the collected values in Kete to suit.

These "synonyms" work for bulk imports and, if support is enabled for the feature, embedded metadata in a binary file.

Standard Fields

These are the fields that Kete items always have in their forms; Title, Description, Short Summary (only relevant to Topics and Documents), and Tags.

  1. login to your site as a user that has the "tech admin" role, such as the original administrator account
  2. click reconfigure site in the Administrator's Toolbox
  3. click Advanced Options
  4. click Imports
  5. there will be a "Synonyms" field for the standard field you want, change the value in the field to suit - Follow the format instructions carefully that are below each field
  6. click Save
  7. restart your server - your changes won't go into action until this is done

Extended Fields

These are the custom fields that you have added to your Kete site to adapt your various items forms to your needs.

  1. login to your site as a user that has the "site admin" role, such as the original administrator account
  2. click extended fields in the Administrator's Toolbox
  3. click Edit for the extended field you want to map to a source data field
  4. add comma separated values for each relevant source data field to Import synonyms
  5. click Update
  6. repeat for each relevant extended field

Note, restarting server is not necessary for extended field import synonyms to activated.
